1. Who we are

This website (etoile25.com) is the official site of Team Étoile. It is operated by 市川 貴志 (Takashi Ichikawa), who acts as the data controller for the personal data described here.

Our contact details are given at the end of this policy.

2. What we collect

Information you give us through the contact form: the type of enquiry, your name, your company or organisation (optional), your email address, and your message.

Information recorded automatically by our server: standard web server access logs, including the date and time of the request, the URL requested, the response status, your browser type (User-Agent) and your IP address. These are recorded so that we can keep the site running and respond to abuse.

We do not write your name, email address or message into our application logs.

3. Why we use it

To answer your enquiry and to carry on any correspondence that follows from it.

To keep the site running reliably, to investigate faults, and to deal with abuse or unauthorised access.

We do not use your data for anything beyond these purposes, and we will not send you marketing email without your consent.

4. Legal basis (if you are in the EU / EEA)

We process information from the contact form on the basis of your consent and of steps taken at your request before entering into a contract (GDPR Article 6(1)(a) and (b)).

We process access logs on the basis of our legitimate interest in operating the site securely (Article 6(1)(f)).

5. Who else sees it

We do not sell or rent personal data.

Enquiries are delivered to and stored in Google Workspace (Google LLC / Google Ireland Limited), which acts as our processor and handles the data on our instructions.

We do not disclose personal data to anyone else, except where we are required to do so by law.

6. Where it is held, and international transfers

This site runs on servers located in Japan. Enquiries are stored in a Google Workspace mailbox.

If you contact us from the EU / EEA, your data is transferred to Japan. The European Commission has recognised Japan as providing an adequate level of protection for personal data (adequacy decision of January 2019).

7. How long we keep it

We keep enquiries for about three years after our last exchange with you, so that we can handle related questions consistently, and then delete them.

We keep access logs for about 14 days and then delete them. This matches the log rotation configured on our servers.

We keep records for longer where the law requires us to, where they document a contract or transaction, or where the matter is still ongoing — and only for as long as that requires.

8. Cookies and analytics

This site does not use cookies. We do not use analytics tools or advertising networks.

Every file needed to display a page is served from our own servers; we do not use third-party content delivery networks.

If we introduce any of these in future, we will update this policy and, where required, ask for your consent beforehand.

9. Links to other sites

This site links to external services such as YouTube and social networks. Once you follow such a link, the privacy policy of that service applies, and we are not responsible for how it handles your data.

These links only cause a connection to the external service when you click them; simply opening one of our pages does not send anything to them.

10. Your rights

You may ask us for a copy of your personal data, or ask us to correct it, delete it, or stop using it. If you are in the EU / EEA you also have the right to restrict processing, to object to it, to data portability, and to withdraw consent at any time.

Please contact us using the details below. We will verify your identity and normally respond within one month.

If you are not satisfied with our response, you have the right to complain to a supervisory authority (in Japan, the Personal Information Protection Commission; in France, the CNIL; elsewhere in the EU, your national data protection authority).

11. Security

All traffic to this site is encrypted with TLS.

The contact form simply opens a draft in your own email application. Nothing is sent to our servers when you use it.

Administrative access to our servers uses public-key authentication only; password logins are disabled.

12. Changes to this policy

We may update this policy to reflect changes in the law or in how the site works. When we do, we will publish the new version on this page and update the date shown above.
